First, to add mandatory reading to a new document or to an already registered document, you need to go to step 4 of the registration process, the "Configuration" step. After that, you must check the option "Notify user by email after publication" and finally select the option Required reading:
Note: If no user or group has been selected, the system will not allow the "Required reading" option to be selected.
Once this is done, for new documents, when they are published, a mandatory reading task will be generated for the user(s) included in the email notification options. For documents that are already registered and published, when editing the mandatory reading users and saving the record, the tasks will be triggered.
The mandatory reading task will be available in the user's Tasks tab, under the "Request" option:
The task can be completed by clicking on the document in the "Request" tab, or by locating the document through the "Search" tab.
To check the mandatory reading status of the documents, you need to access the "Mandatory Reading Control" option, located in the Search tab of the Documents module:
This screen will show the reading status for each document, separated by user, where the "x" icon indicates that the user has not completed the reading, and the "v" icon indicates that the reading has been completed:
If a document that has already been read by a user goes through a revision and is published, the users' reading status will return to "Not read", indicated by the "x" icon:
The screen also tracks the total number of read and unread documents per user:
